Which med spa software should you choose?
For clinical charting, shortlist Aesthetic Record and AestheticsPro; for booking and front desk work, Boulevard and Mangomint; for multi-location groups, franchises and growing aesthetics groups, PatientNow and Zenoti; for solo budgets, Vagaro. Small independent practices can compare Aesthetic Record's $15 per user a month plus $399 onboarding, Mangomint's $120 a month per location plus $10 per user, and Vagaro's $30 a month for one user. Pabau offers full feature access on every plan, with user-based pricing and optional add-ons. Portrait suits practices seeking Core EHR through the membership they use to buy supplies.
How did we compare the options?
We compared documented features, published pricing and the questions each product leaves for a demo. These criteria help you assess fit without treating every feature list as equivalent.
- Clinical documentation: Compare procedure charting, chart sign-off and before and after photos. Ask the vendor to demonstrate a complete visit using your documentation requirements.
- Consent and intake: Review available forms, customization and how completed forms connect to the patient record. Bring your current intake process to the demo.
- HIPAA and the BAA: Under the HIPAA Rules, a covered entity needs a written business associate agreement (BAA) with a vendor that is its business associate before sharing protected health information (PHI) with that vendor, as explained in HHS guidance on business associates (opens in a new tab). Ask each vendor, Portrait included, whether it will sign a BAA before you move patient records.
- Booking and scheduling: Test appointment changes, staff calendars and location selection with your front desk team. Use our med spa scheduling software comparison to narrow your booking requirements.
- Payments and memberships: Ask vendors to demonstrate checkout and recurring patient payments. Request payment processing terms alongside the software quote.
- Inventory: Check lot and expiration tracking directly, rather than assuming inventory tracking includes both. Ask how staff record stock changes during a patient visit.
- Marketing and messaging: Compare included messaging with usage charges and optional marketing tools. Our med spa CRM comparison can help you define follow-up requirements.
- Total cost: Include onboarding fees, add-ons and per-user or per-location charges. Ask what changes when you add staff, locations or prescribers.
We read each vendor's own pricing and product pages, checked November 5, 2026. This is not hands-on testing. All prices in this guide are USD. Prices change, so confirm current terms with the vendor.
How does medical spa software compare by vendor?
Medical spa software varies by published features, pricing and the type of practice each vendor serves.
Aesthetic Record
Aesthetic Record combines procedure charting, photo management, online booking and inventory in Essentials. Its clinical pages list chart sign-off, auditing and cloud e-prescribing. Inventory records include lot numbers and expiration dates, and practices can send purchase orders to suppliers. The company also runs AR Marketplace, a supplies marketplace for licensed professionals.
Essentials costs $15 per user per month and Accelerator costs $19 per user per month. Both carry a $399 startup and onboarding fee. Enterprise requires a quote and adds multi-location dashboards. Some features cost extra, and e-prescribing pricing applies per prescriber. Ask which clinical tasks your selected plan includes before comparing its subscription with another vendor's quote.
Best for: Injector-led practices prioritizing procedure documentation and detailed inventory.
AestheticsPro
AestheticsPro lists a library of 500+ customizable forms, telemedicine and low-inventory alerts. Its photo tool uses alignment guides and ghosting to support consistent capture. Those features make it a candidate for practices that want structured clinical documentation and repeatable photography.
Pro-Plus costs $160 per month for 2 users. A third user costs $85 per month, and Pro-Plus supports up to 3 users. Executive costs $285 per month for unlimited users and supports multiple locations. Enterprise costs $350 per month for unlimited users. E-prescribing, texting and marketing carry extra fees. Compare alternatives to AestheticsPro when the Pro-Plus 3-user cap or plan limits do not fit your practice.
Best for: Practices prioritizing customizable forms and consistent clinical photos.
Boulevard
Boulevard includes online booking and Precision Scheduling in all three med spa plans. Each plan also lists forms and charting, photo markup and sign-off, and HIPAA compliance. Essentials covers one location; Premier and Prestige serve practices with one or more locations.
Aesthetics Premier normally costs $455 a month per location, and Aesthetics Prestige normally costs $520 a month per location. Aesthetics Essentials costs $199 a month for one location and up to 3 professionals. These are monthly billing prices. When checked, Premier and Prestige were shown at $364 and $416 a month per location, respectively, as a limited-time fall offer for new customers, with terms applying. Essentials and Premier include 250 free texts monthly; Prestige includes 2,500. Ask for promotional terms and texting costs beyond the allowance.
Best for: Practices prioritizing booking and front desk work alongside clinical documentation.
Mangomint
Mangomint includes calendar and scheduling tools, online booking, Express Booking and a Virtual Waiting Room in its core offering, alongside multi-location support. It describes its EMR interface as minimalist and user-friendly. Clinical tools include SOAP notes, image markup and before and after photos. Mangomint says HIPAA compliance includes a signed BAA and requires contacting support to enable it.
Mangomint costs $120 a month per location plus $10 a month per user. Phone service costs $70 per month per line. Marketing starts at $30 per month. Payroll costs $50 a month plus $8 per worker. Mangomint lists onboarding at no charge and no contracts. Separate the location charge, user charges and optional services when building your budget.
Best for: Practices needing booking and front desk tools alongside clinical charting.
Pabau
Pabau lists before and after photos, face mapping for injection points, and digital intake and consent forms. It states that every plan offers full access. Its HIPAA support setting requires activation. Ask the vendor to demonstrate your documentation workflow and explain what that setting changes before you move records.
Pabau says its pricing starts at $104 a month for one user. Pricing depends on geography and user count, with quotes for larger teams. Pricing applies per location except Enterprise, which covers multiple sites and serves 16+ users. Optional paid add-ons are Marketing Plus, Care Plus, Insights Plus and Engage Plus. Request a quote for your exact staffing and location needs, then identify any add-ons separately.
Best for: Practices seeking full feature access across plans with pricing tied to users.
PatientNow
PatientNow's Standard plan lists an AI scribe, EMR and practice management, before and after photos, and memberships. Its clinical workflow includes e-prescribing, lab ordering and telehealth. Its med spa page describes storing photos with patient records and tracking consent before external sharing. PatientNow also describes centralized management across locations.
PatientNow does not publish prices; it quotes per practice through a personalized demo. It offers three plans, and e-prescribing appears in the top plan, Catalyst. Ask which plan includes each clinical feature you need, rather than treating the broader product description as a package specification. For a multi-location practice, request a quote covering the locations and staff who will use it.
Best for: Multi-location practices needing clinical tools and practice management together.
Portrait
Portrait is a marketplace where members order supplies, with pricing based on membership tier. Core EHR is complimentary with Portrait membership. Core EHR covers scheduling, charting, payments, inventory and reporting. It includes consent and charting note templates. Checkout supports a card on file or a Stripe terminal. Stock tracking by location with low-stock alerts is also included. Portrait also offers patient subscription plans.
Membership starts with a pre-load, a prepaid supply purchase that becomes marketplace credit. Advanced tools and add-ons cost extra. Assess the membership alongside your supply purchasing needs, then ask which optional tools your practice would use. Portrait fits best when you plan to order supplies through Portrait's Marketplace.
Best for: Practices seeking Core EHR through their supply ordering membership.
Vagaro
Vagaro includes SOAP notes, inventory tracking and memberships with every plan. It also includes a free listing on the Vagaro Marketplace. Its med spa page describes HIPAA-compliant charting, before and after photos, e-forms and consent. Vagaro says its electronic prescriptions go to partner pharmacies.
Vagaro costs $30 a month for one user. An introductory rate of $23.99 a month applies for the first 6 months. Pricing rises with team size, and exclusions apply. Vagaro says you can cancel anytime with no cancellation fees. Compare the ongoing rate with your expected staffing, rather than using only the introductory figure. Confirm the quote for everyone who needs access before deciding whether it fits your budget.
Best for: Solo or budget-conscious practices comparing documented clinical basics.
Zenoti
Zenoti targets multi-location groups and franchises with centralized control and site-by-site flexibility. Its clinical features include e-prescribing and guided before and after photos. Zenoti says its HIPAA workflows include a BAA. Those documented features make it a candidate for groups evaluating consistency across locations.
Zenoti does not publish prices; it quotes per practice. Multi-location pricing depends on the practice's footprint and needs. Messaging usage is billed separately, with optional base packs. Ask for a quote that separates location requirements from expected messaging consumption. Use alternatives to Zenoti to compare other approaches before committing to a package. In the demo, request the same photo and charting workflow at each proposed location.
Best for: Multi-location groups and franchises seeking centralized control.
Switching from Aesthetic Record or Mindbody?
If you are leaving Aesthetic Record, list the clinical depth you need to retain. Compare AestheticsPro for customizable forms and photo alignment. For a simpler interface, evaluate Mangomint, which describes its EMR as minimalist and user-friendly. Pabau documents face mapping, intake and consent. PatientNow offers clinical photography and connected clinical workflows. Portrait, which publishes this guide, includes consent and charting note templates in Core EHR. For basic requirements, consider Vagaro's included SOAP notes and inventory tracking. Ask each to demonstrate your current tasks before calling it a match.
Mindbody sells medical spa software. Its medical spa page lists client record-keeping, treatment plans, SOAP notes, customizable patient intake forms and assessment templates. Mindbody says it is HIPAA compliant. Separately, its page states that not all features are available in all regions or on all tiers. Start your replacement review with charting, consent forms, before and after photos and the BAA. Compare Aesthetic Record for procedure documentation and photos, AestheticsPro for forms and photo capture, and Mangomint for SOAP notes and image markup. Pabau documents photos and consent tools, while Portrait, which publishes this guide, includes consent and charting note templates in Core EHR. Vagaro also documents photos and consent tools. Ask each vendor to demonstrate the complete patient record workflow before evaluating other features.
