Which med spa CRM should you choose?
PatientNow, Phorest and Zenoti suit lead capture, campaigns and charting needs; Boulevard, Mangomint and Vagaro suit booking-led practices seeking marketing alongside scheduling. Small independent practices should compare the tools staff will use daily and confirm which plan includes them. GoHighLevel suits agencies and service providers managing campaigns and pipelines through a general CRM. Pabau suits practices seeking the same core features across plans priced by team size, with optional add-ons. Podium suits practices seeking an AI assistant answering leads alongside an EMR. Portrait suits practices seeking patient follow-up tools through the membership they use to order supplies. Its marketing and messaging hubs are in beta and sit outside complimentary Core EHR. Ask which tools your membership includes. Compare campaign allowances and optional add-ons before choosing a plan.
Which med spa software combines EHR, CRM and online booking?
Boulevard, Mangomint, Pabau, PatientNow, Phorest, Podium, Portrait (beta marketing outside complimentary Core EHR), Vagaro and Zenoti combine charting, marketing and online booking. The documented clinical features vary: some vendors describe an EMR, while others list charting or SOAP notes. That distinction gives you a specific feature to examine during a demo. GoHighLevel offers CRM, pipelines and booking calendars, but its pricing and HIPAA pages list no charting or EHR features. A practice would pair GoHighLevel with a separate EHR. Check whether marketing, two-way texting and campaigns come with the base plan or require an add-on.
How did we compare med spa CRM platforms?
We compared documented features, plan boundaries and published pricing to identify practical differences. Ask every vendor on this list, Portrait included, whether it will sign a BAA before patient data moves into the CRM.
- Patient records and charting: Ask staff to open a patient record and find clinical notes, contact details and prior conversations. Check which information stays together and which requires a separate system.
- Online booking and reminders: Follow a booking from the patient page into the calendar. Ask how confirmations, reminder channels and appointment changes connect to the record.
- Two-way texting and shared inbox: Ask where incoming replies appear and how staff find the conversation later. Confirm whether calls, texts and email activity share an inbox.
- Email and SMS campaigns: Request a demonstration of audience filters using visit dates and treatment history. Distinguish a manually sent message from an automated follow-up sequence.
- Reviews, referrals and loyalty: Ask to see review requests, referral tracking and patient points or perks. Confirm which functions belong to the quoted plan.
- Lead capture and follow-up: Trace an inquiry from a call, form or text into the CRM. Ask who receives the inquiry and how staff track the next action.
- HIPAA and the BAA: Under HIPAA, covered entities need written business associate agreements (BAAs) before sharing protected health information (PHI) with vendors acting as business associates. See HHS business associate guidance (opens in a new tab).
- Total cost: Request charges per user, per location, per text or per appointment, plus add-ons and HIPAA modules. Ask the vendor to separate recurring charges from usage charges.
A CRM sits beside scheduling and charting in your daily workflow. Compare med spa scheduling software for booking needs and all-in-one med spa software for broader practice management.
We read each vendor's own pricing and product pages on November 5, 2026. This comparison is not hands-on testing. All prices are USD. Prices change, so confirm the plan and charges with the vendor.
What does each med spa CRM offer?
Use the alphabetical profiles below to compare documented features, published pricing and the questions each plan leaves for your demo.
Boulevard
Boulevard lists email and text campaigns, two-way texting, referrals, ratings and a loyalty program. Its med spa plans include forms and charting, photo markup and online booking. The booking overlay stays on your website and connects with Google, Facebook and Instagram profiles. All plans list email and text reminders.
Prices checked November 5, 2026 use monthly billing. Aesthetics Premier normally costs $455/month per location; Aesthetics Prestige normally costs $520/month per location. The pages showed a limited-time fall offer for new buyers: Premier $364/month and Prestige $416/month per location, with terms. Aesthetics Essentials costs $199/month for one location and up to three professionals. Automated campaigns cost $2 per completed appointment. Ask how campaign charges affect the monthly bill.
Best for: Booking with campaigns and loyalty.
GoHighLevel
GoHighLevel also calls itself HighLevel. Its core tools include CRM, pipelines, email and SMS marketing, workflow automation, booking calendars and online reputation management. Its pricing and HIPAA pages list no charting or EHR features. A practice would pair it with a separate EHR.
Prices checked November 5, 2026 list Starter at $97/month, Unlimited at $297/month and Founder at $497/month. The plans allow unlimited contacts and staff logins. Email and SMS marketing carry usage-based charges. HighLevel says it is not HIPAA compliant by default. To handle PHI inside HighLevel, businesses need to enable its HIPAA features through a paid HIPAA module and a signed BAA. The HIPAA add-on costs $297/month beyond the plan price. Check these requirements closely for general-purpose CRMs. Ask for the combined subscription and messaging costs.
Best for: Agencies and service providers managing campaigns and pipelines.
Mangomint
Mangomint combines online booking, client management, memberships, forms and charting. Mangomint describes its product as an EMR. Its Marketing add-on offers Campaigns and Automated Flows. Campaign audiences can use appointment history and client tags. The Phone add-on connects calls and two-way texts from one number to client profiles in an inbox.
Prices checked November 5, 2026 list $120/month per location plus $10/month per user for the core platform. Marketing starts at $30/month. Phone costs $70/month per line. The core price includes unlimited text and email appointment confirmations and reminders. Campaign tools and phone conversations are separate additions to that appointment messaging. Mangomint says practices enable HIPAA features through support with a signed BAA.
Best for: Booking and charting with optional campaign tools.
Pabau
Pabau includes clinical records, online booking, marketing tools and a shared email and SMS inbox across its plans. Its booking page lets patients book, pay and complete forms. Its loyalty tools support points and referral campaigns. Core marketing includes email templates and one manually sent campaign each month.
On November 5, 2026, Pabau stated that pricing starts at $104/month for one user with full platform access, with pricing dependent on the practice's country and number of user seats. Larger teams get a quote based on headcount and optional add-ons; pricing applies per location except Enterprise, which covers multiple sites. Marketing Plus adds unlimited email and SMS campaigns, scheduled sending and segmentation by spend, demographics and booking history. Pabau says its HIPAA support toggle alone does not make a business HIPAA compliant. Ask which extras your quote includes.
Best for: Core feature access across team sizes.
PatientNow
PatientNow's Standard plan combines EMR, online booking, email and SMS marketing, lead management, patient communications, loyalty and memberships. PatientNow says calls, forms and texts enter a CRM tagged with treatment interest. Its marketing pages describe automated follow-up and review requests. Its booking tools include deposits, waitlists and text or email reminders.
Pricing checked November 5, 2026 showed no published prices; PatientNow quotes per practice. The quote depends on plan, practice size, locations and add-ons. Amplify adds advanced lead capture, nurturing and automated drip campaigns. Catalyst adds reputation and review management, with availability depending on practice setup. Ask PatientNow to identify the plan needed for each workflow and confirm review management in the quote.
Best for: Lead capture and campaigns alongside an EMR.
Phorest
Phorest combines CRM, charting, marketing and online booking for med spas. Core Aesthetics includes review requests, automated email and SMS reminders, the marketing suite and Phorest Reconnect. Its campaign tools use service history and track results through the point of sale. Reconnect identifies overdue clients for personalized texts or emails.
Pricing checked November 5, 2026 showed no published prices; Phorest quotes per practice. Its med spa plans target businesses with three or more staff and include unlimited devices and staff logins. Two-way SMS, lead management and digital loyalty can be added to any plan. Ask Phorest to specify those additions when quoting Core Aesthetics. Request a demonstration connecting a campaign audience to its charting and booking tools.
Best for: Campaigns connected to clinical records and rebooking.
Podium
Podium's aesthetics product combines an EMR, patient communications and marketing. Its AI assistant, Avery, responds to leads and books appointments into the calendar. Podium says booking considers available rooms, devices and equipment. Its aesthetics page also lists charting, scheduling, online booking, payments, proactive marketing, memberships and centralized communication channels.
Pricing checked November 5, 2026 showed no price on Podium's aesthetics page; Podium quotes through sales. The general pricing page lists review management on Core and text marketing, advanced segmentation and lead capture forms on Pro. Those general plan details do not establish the aesthetics package's price or inclusions. Ask sales to specify the aesthetics features in writing. Request a demonstration of an incoming lead becoming a booked appointment and patient record.
Best for: AI lead responses alongside an EMR.
Portrait
Portrait's Communications Hub, in beta, ties two-way texts from the clinic's business number to patient records and includes email activity. Its Marketing Hub, in beta, sends email and SMS campaigns to patient audiences. An overdue worklist lists patients due or overdue for a return visit. Core EHR covers scheduling, charting, payments, inventory and reporting. Patients book online through a booking page and location-specific links.
Core EHR is complimentary with Portrait membership. Membership starts with a pre-load, a prepaid supply purchase that becomes marketplace credit. Portrait charges no membership fee. Members order supplies on Portrait's Marketplace, with pricing based on membership tier. Communications Hub and Marketing Hub sit outside complimentary Core EHR. Advanced tools and add-ons cost extra, so ask which tools your membership includes.
Best for: Patient follow-up alongside supply ordering membership.
Vagaro
Vagaro includes online booking, SOAP notes, memberships, loyalty programs and monthly email allowances in every plan. Booking is available through Vagaro, Instagram, Facebook and Apple Maps. Plans also include calendar and resource management, waitlist options and unlimited appointment reminders. Its med spa page describes charting, before and after photos, e-forms and consent.
Prices checked November 5, 2026 list Just Me at $30/month for one user at one location. The one-location introductory rate is $23.99/month for the first six months, with exclusions. Multiple locations are priced separately. Pricing rises with team size. Every plan includes 1,000 emails monthly. Ask how your expected sending volume affects the quote and which campaign functions meet your needs. Request a demonstration connecting online bookings, patient notes and loyalty.
Best for: Booking with loyalty and included email allowances.
Zenoti
Zenoti combines an EMR, online booking, lead management and marketing. Its marketing tools send email and SMS based on patient behavior. Audiences can use service history, visit recency or loyalty tier. Zenoti also lists referral programs, review prompts and responses, loyalty points at checkout and memberships with automated billing.
Pricing checked November 5, 2026 showed no published prices; Zenoti quotes per practice. Multi-location pricing depends on the practice's footprint and needs. Voice, SMS and messaging usage carries consumption-based charges, with optional base packs. Ask for a quote using your expected message volume. Zenoti says its HIPAA workflows include a BAA. Its multi-location tools provide centralized control, so ask how individual locations manage their daily work.
Best for: Marketing and clinical workflows across multiple locations.

- Will you sign a BAA before patient data moves into the CRM?
- Does the base plan include campaigns, two-way texting and review requests?
- How do leads from calls, forms and texts reach the patient record?
- How do audience segments use treatment history and visit dates?
- How do online bookings and reminders connect to the CRM?
- How can we export patient and campaign data if we leave?
