Among these med spa options, Aesthetic Record starts at $15 per user monthly, and Vagaro starts at $30 monthly for one user. Add-ons change the real monthly cost, and Aesthetic Record also lists a $399 startup and onboarding fee.

Portrait publishes this comparison. The prices below come from vendor sources checked November 5, 2026, with vendors listed alphabetically.

What is the cheapest EHR for a med spa?

For a single user, Aesthetic Record has the lowest published starting subscription price in this comparison: $15 per user per month. A $399 startup and onboarding fee also applies. This starting price comparison assumes one user because vendors price per user, per location or per plan.

Vagaro lists $30 a month for one user. Vagaro calls its $23.99 monthly price an exclusive rate for the first 6 months; exclusions apply. Keep that exclusive rate separate from the ongoing subscription when comparing quotes.

Neither starting price establishes your practice's total cost. Before choosing, ask for a quote covering the people who need access and the features you intend to use.

For a new practice, start with the medical charting workflow you need at opening. Then compare the quoted cost of that setup, including required extras.

How do published med spa EHR prices compare?

Published prices use different units, including users and locations, while PatientNow and Zenoti require quotes.

Use the table to identify each starting price and its stated scope. Where the available vendor facts leave something unspecified, ask the vendor to clarify.

What does a low-cost EHR need to do for a med spa?

A low-cost med spa EHR needs medical charting and consent forms, plus the scheduling, photos, payments and inventory functions your practice requires.

Use the following checklist during a demonstration. Ask the vendor to show each function in the exact plan you are considering and identify any separate charges.

    Charting, consent forms and photos

Start with a sample appointment and ask to see the chart, consent forms and photo workflow. Confirm which parts are included in the quoted subscription.

Aesthetic Record Essentials lists procedure charting and photo management. Boulevard Aesthetics Essentials lists forms and charting. Vagaro lists HIPAA-compliant charting and before-and-after photos for med spas.

Mangomint describes itself as an EMR. Ask vendors to demonstrate the documentation you need rather than treating the EHR or EMR label as your complete checklist.

    Scheduling and online booking

Ask to see both staff scheduling and online booking. Have the vendor identify whether each appears in the quoted plan or requires another feature.

Aesthetic Record Essentials lists online booking. For every option you evaluate, put the vendor's answer beside the price so the comparison reflects your intended setup.

    Payments and inventory

Include payments and inventory in your demonstration request. Ask what the quoted plan covers, what requires separate activation, and which charges belong outside the subscription.

Aesthetic Record Essentials lists inventory. Do not assume another vendor includes the same functions because its starting price appears in the same comparison.

    Texting and e-prescribing

List the texting functions you intend to use, and include e-prescribing if your practice needs it. Ask for the applicable charges before accepting a quote.

AestheticsPro lists extra fees for texting and e-prescribing. Boulevard lists ePrescribe and Messages & Text Marketing under "Mix and match more features." Confirm any cost for these features. Its Aesthetics Essentials plan includes 250 free texts. No ePrescribe price appears in its default monthly pricing view.

    A written business associate agreement

Include a written business associate agreement in your review where the vendor will act as a business associate. HIPAA's business associate rule requires a written agreement.

Request the agreement during evaluation, alongside the feature list and pricing terms. Keep this as an explicit checklist item when comparing software for medical charting.

Where do cheap EHR plans add costs?

Published plans list additional costs for users, onboarding, e-prescribing, texting, phone service and marketing.

    Users and onboarding

Aesthetic Record charges $15 per user per month for Essentials, plus a $399 startup and onboarding fee. Record those as recurring and upfront costs separately.

AestheticsPro Pro-Plus includes 2 users at $160 a month. A third user costs another $85 a month, and the plan supports up to 3 users.

Mangomint lists $120 a month per location plus $10 a month per user. Include both components when requesting a price for your intended team.

    Prescribers, messages and phone lines

Boulevard lists ePrescribe under Mix and match more features, without a price in its default monthly pricing view. Ask the vendor to confirm ePrescribe pricing and billing frequency in your quote.

Boulevard's Aesthetics Essentials plan includes 250 free texts. Its pricing page says Start with the free texts in your plan. AestheticsPro lists texting and e-prescribing as extra-fee features. Request pricing details for the features you plan to use.

Mangomint's phone add-on costs $70 a month per line. Count the lines you intend to use before adding that charge to the subscription.

    Marketing and other optional tools

Mangomint lists marketing from $30 a month, and AestheticsPro lists marketing fees separately. Pabau lists four optional paid add-ons.

Ask vendors to name every selected add-on in the quote. Keep features you have not chosen outside your planned total, and document any unresolved charges.

Aesthetic Record also notes that some listed features cost extra. Confirm the status of each required feature rather than reading the feature list as an inclusion guarantee.

How do you compare total monthly cost?

Compare total monthly cost by adding the quoted subscription, user charges and selected recurring extras, while keeping upfront fees separate.

Use the same practice requirements for every vendor. For a pre-revenue practice, mark planned usage as an estimate and ask how the vendor would bill it.

    • Count users. List everyone who needs access, then apply the vendor's included-user allowance and any additional-user charges.
    • Count prescribers. If you need e-prescribing, request the price for each prescriber and confirm the billing frequency.
    • Count locations. Apply any location charge to the locations in your proposed setup, alongside user charges where applicable.
    • List the add-ons you will turn on. Include required texting, phone, marketing and other optional tools, using quoted rates.
    • Record onboarding fees. Keep startup and onboarding charges separate from recurring charges so you can see the initial amount due.
    • Total the recurring charges. Identify usage-based items separately, and show introductory pricing alongside the ongoing price rather than mixing them.

For Mangomint, the published method starts with $120 monthly per location plus $10 monthly per user. Add phone or marketing only if selected.

For Aesthetic Record, start with $15 monthly for each user and identify any selected extras. Keep its $399 startup and onboarding fee in the upfront column.

These methods leave the final total dependent on your actual setup. If a charge remains unknown, ask for clarification before treating the comparison as complete.

    Where does Portrait fit?

Core EHR is complimentary with Portrait membership, and membership starts with a pre-load.

Core EHR covers scheduling, charting, payments, inventory and reporting. Use those functions as the starting list when discussing whether membership fits your practice's software needs.

Advanced tools are usage or credit based. Identify the tools you intend to use and ask how their usage applies to your proposed setup.

The pre-load becomes marketplace credit. Members order supplies on Portrait's Marketplace, with pricing set by membership tier.

Members can save up to 60% on select products. When reviewing membership, ask about the supplies you intend to order and the pricing for your membership tier.

Evaluate the membership entry requirement alongside the included Core EHR functions and any Advanced tools you expect to use. Keep each part visible in your comparison.

For a new or small med spa, bring your user list, charting requirements and intended supply orders to the discussion. Ask which needs Core EHR covers.

Then review any Advanced tools separately. That gives you a defined membership setup to compare with the written software quotes you have collected.
